You've created your event and now it's time for the people to join it! π
If you missed the introduction to the event booking app, I suggest checking that article out first.
And now, let's dive in! π³
When you integrated the Event Booking app, a new field appeared in the Pages app, which is the Event Booking field.
- Enter the Pages app.
- Open the page campaign in which you plan to include your Event.
- Drag and drop the form module.
- From the Fields tab, find the Event Booking field, and drag and drop it to the form.
- Click on the field to preview the settings.
- All settings are the same as any other field (if you wish you can learn more about them in the form fields article), but in addition to the event field, we have the Event booking settings. From where you can:
- Choose the Event that you need.
- Add your own 'No sessions message' - this message will appear if all sessions in the event are deleted.
- Select the Mode to Booking or Manage Booking - The booking option is used if you don't include any updates in the guest settings. If you use the Allow for booking updates and Allow for booking cancelation settings then select the Manage Booking Mode. This way the contacts can update the booking.
- Select the Display Mode to Single or Multilevel select - This option is more of how you prefer the looks of the select. The Single select in the filed will show the date, name, and description of the event, and the Multilevel select will show the date and once you click on the date it will show the rest of the event details.
- Once you set up the event booking field and your form in general, use the page in a flow block.
Note: Our suggestion is to create your entire flow and test it first before going live! You can easily send the flow to yourself and see how the event field looks, and check the Guest tab from the Event Booking app.
When your contacts start submitting the form with your event you can see the contact details if you:
- Go to the Event Booking app.
- Enter the Guests tab.
- Here you can see the guest's
- Name
- Seats
- Session - here you'll find the session date and time, and if you have more sessions you can click on the filter () icon and choose to show the guests for a specific session.
- Status - the guest status can be canceled, booked, or waiting. You can click on the filter () icon and choose to show the guests for a specific status.
- Bulk update status - click on the check box right next to the guest and a drop-down menu will appear from where you can
- Set attended status
- Set no-show status and
- Set canceled status
- You can also manually change the status and session of one guest. To do that click on the edit () icon next to the guest's status. And simply from the drop-down menu select the needed option. When you are done editing the guest settings click on the checkmark.
- Bulk update status - click on the check box right next to the guest and a drop-down menu will appear from where you can
- Details - click on the 'Details' button and a sidebar will appear containing the information for the guest.
- If you need to you can also export the guests from the event, click Export guests from the guest tab.
Edit the event
You are able to edit the Event session at any time.
- Go to the Event Booking app and find your event, hove over it and click Edit.
- You are able to edit the whole event, the guest settings, and the sessions.
- Even if your event is already used in a Page and the flow is live, once you edit the event session, the page will be automatically updated - no need to add the event booking field on each edit.
