In Loopify you can use our Event Booking app, from where you can create your events and add as many sessions as you like!
So let's see how this works!
Integrate the Event Booking app
From the Loopify Dashboard choose App Store → Available apps → Pick Event Booking and click Connect app and you'll see the app on your dashboard.
Create an Event
- From the Loopify dashboard enter the Event Booking app.
- Click Create new event + and give the event a name.
- If you want to edit the event's name click on the edit () icon.
- If you want to return to the events dashboard click on the arrow () next to the event name.
Sessions
An Event Session is part of your event, think of it like this, you can have one event but have a different date and time for each session. For example, you can have one webinar session at 12:00, and a different session for the webinar at 20:00. This way people can choose the time to attend the webinar.
- To add an event session click on the Schedule plus sign () icon.
- From here you can:
- Schedule start - choose a start date for the session.
- Add time.
- Give the session description.
- Limit session access - meaning if you select some of your segments, only the contacts from the segment will be able to see and choose the session. (Click on the human-like button () to preview the contacts from the selected segment) If you leave it open, (not selecting a segment) then anyone will be able to see and choose the session.
- Add a number of seats that would be available for your event.
- Once you are done click Add.
- After adding your first session you can edit it anytime, by clicking Update.
Note: An event session represents a specific component of the event. You can add as many sessions as you need, depending on the event scale.
Guests
A list of guests and other settings will appear once the contacts start submitting a form containing the event field. You can read more about the Guest tab in the Use the Event Booking field in a form article, and learn more about the guest settings and details.
Guest settings
The guest settings will kick in once the contacts start submitting a form with an Event booking field. Also, the setting messages will appear under the Event booking field.
- Click on the Add guest setting +
- A drop-down menu will then appear to choose which guest setting you want to add. You can choose from:
- Display available seats - will always show the available seats depending on the remaining number of seats
- Add a waitlist - if your event is fully booked, contacts will be able to see the event and join a waitlist.
- Display past sessions - your contacts will be able to see past sessions, but they won't be able to join them, they won't be clickable.
- Display fully booked sessions - the contacts will be able to see the fully booked sessions but they won't be clickable.
- Allow for booking updates - enables the user to change their booking. If you want to allow booking updates this will require choosing the option Manage booking from the Event Booking field.
- Allow for booking cancelation - enables the user to change their booking. To allow booking updates this will require choosing the option Manage booking from the Event Booking field.
- Once you choose the guest's settings, you can add a message that will be displayed in the event booking field.
- For the message part, you can style the text, add variables, or make it fun with some emojis.
- When you are done with the guest settings click Add.
Register a new guest
- Click on the plus icon ( ) to register a new guest.
- A new window will open up where you can write the guest name, or search for existing contacts to add them as guests to the session.
- If the contact doesn't exist on the account a button will pop up where you can register them as a guest.
- Click on the button and start by selecting a session in which you need them.
- Fill in the form with basic information such as name, email, and mobile.
- At the end select a booking status.
- If the guest you wish to add exists on your account as a contact then select a session and abooking status and register them.
- If the contact is part of a session already a notification will appear informing you in which session is the guest is registered.
- You can re-register them into another session and they will move to the selected session.
Congrats, you've created your first event!🎉 Now, the next step is using the event booking filed in a form.
